The Meetings feature helps board members schedule meetings, build agendas, and generate minutes using AI. From monthly board meetings to annual homeowner meetings, everything is organized and documented.

How to Use It
Step 1: Schedule a Meeting
Go to Board Portal → Meetings and click "New Meeting." Set the date, time, location (or video link), and choose attendees. The system sends invites automatically.
Step 2: Build the Agenda
Add agenda items, assign presenters, and attach relevant Documents. Residents can view the agenda in advance if the meeting is public.
Step 3: Generate Minutes with AI
After the meeting, click "Generate Minutes." The AI drafts minutes based on your agenda and any notes you added. Edit, approve, and publish them to the community.
Common Issues
Q: Can residents attend board meetings? A: Yes, if you mark the meeting as "Open." Residents see it on the calendar and can RSVP. Closed executive sessions stay board-only.
Q: The AI minutes missed a key decision. How do I fix it? A: Edit the draft before publishing. You can also add manual notes during the meeting by clicking "Take Note" on any agenda item.
Pro Tips
- Attach your financial Reports to the agenda before the meeting so board members review numbers in advance, not during.
- Use the "Action Items" tracker to assign follow-ups with due dates. The system reminds assignees automatically.
