The Architectural feature lets board members review, approve, or reject homeowner improvement requests. From fence colors to kitchen remodels, you can track every request with comments, documents, and deadlines.

Board members of HOA/condo communities.

How to Use It

Step 1: Review Incoming Requests

Go to Board Portal → Architectural to see all pending requests. Each request shows the homeowner, project type, documents uploaded, and requested start date.

Step 2: Request More Info or Vote

If plans are incomplete, click "Request More Info" and tell the homeowner exactly what is missing. If ready, click "Approve" or "Reject" and add your reasoning. Other board members can weigh in before a final decision.

Step 3: Track Approved Projects

Once approved, the request moves to "In Progress." You can check back to see if the homeowner marked it complete or if a follow-up inspection is needed.

Common Issues

Q: A homeowner started work before approval. What do I do? A: Log the violation in the Violations module and link it to the architectural request. This keeps your records clean and your enforcement consistent.

Q: Can we require certain contractors or materials? A: Yes. Add your community's architectural guidelines as a document in the Documents section and reference it in your approval criteria.

Pro Tips

  • Set a standard review timeline (e.g., "We review every Friday") and communicate it so homeowners are not left guessing.
  • Upload photos of the finished work to the request file — it helps future boards know what was approved before.
