Violations
What It Does
The Violations feature helps board members issue violation notices, track compliance, and manage hearings fairly. From parking issues to architectural non-compliance, everything is documented and traceable.
Who It's For
Board members of HOA/condo communities.
How to Use It
Step 1: Log a Violation
Go to Board Portal → Violations and click "New Violation." Select the unit, violation type, date observed, and upload photos if you have them. The resident gets notified automatically.
Step 2: Track Compliance
The resident can respond, request a hearing, or mark it resolved. You see the full timeline — notice sent, response received, fine assessed, or cure confirmed.
Step 3: Manage Hearings
If a resident requests a hearing, schedule it through the Meetings module or log the hearing date and decision directly in the violation record.
Common Issues
Q: A resident says they never got the violation notice. A: Check the notification log on the violation record. It shows when the email was sent and if it was opened. You can resend or post a physical copy if needed.
Q: Can we set up automatic fines? A: Yes. Configure fine rules in Settings → Violation Rules. The system can auto-apply fines after a cure period expires, but the board must approve each one.
Pro Tips
- Be consistent. If you enforce a rule against one resident, enforce it against all. The violation log proves your fairness if challenged.
- Photo evidence makes a huge difference. Upload clear photos with dates visible so there is no dispute about what happened when.
