The Search feature is an AI-powered search engine across all your community data. Find anything — documents, meeting minutes, member records, payment history, violation notices — with one search bar instead of digging through folders.
Board members of HOA/condo communities.
Click the search bar at the top of the Board Portal and type what you are looking for. Use natural language like "December 2025 budget" or "violation notice unit 204."
Narrow results by category: Documents, Members, Meetings, Payments, Violations, or Everything. The AI ranks the most relevant matches first.
Click any result to open the original record. No more guessing which folder a file is in — the search takes you straight there.
Q: I searched for a document but it did not appear. A: The search indexes uploaded documents and text content. If a file was just uploaded, wait a few minutes for indexing. Check that the file is not set to a permission level you cannot access.
Q: Can I search inside PDFs and scanned documents? A: Yes. The AI reads text inside PDFs and uses OCR on scanned images. Search accuracy depends on scan quality — blurry pages may not index fully.
Q: What does the amber banner at the top mean? A: The amber banner means LotWize has entered graceful degradation mode. Some AI features (like photo analysis or meeting summaries) may be temporarily paused to keep core functions running smoothly. Payments, notifications, and basic operations still work normally. The banner disappears automatically when full service is restored.
Q: Why did some AI features stop working? A: If our systems detect unusually high error rates, we temporarily pause non-essential AI features to protect core services like payments and notifications. This is automatic and temporary. If it lasts more than an hour, contact support.
