What It Does

The Payments feature tracks dues collections, monitors delinquencies, and gives residents an easy way to pay online. Board members can see who is current, who is behind, and send reminders with one click.

Who It's For

Board members of HOA/condo communities.

How to Use It

Step 1: View Collections

Go to Board Portal → Payments to see a dashboard of total collected, outstanding, and overdue amounts. Filter by unit, date range, or payment status.

Step 2: Track Delinquencies

The delinquency view shows all overdue accounts with days past due, amount owed, and last payment date. Sort by severity to prioritize follow-ups.

Step 3: Send Reminders

Select one or multiple delinquent accounts and click "Send Reminder." Customize the message or use the default template. Residents receive it by email and portal notification.

Common Issues

Q: A resident paid, but it still shows as delinquent. A: Check the payment method. Checks and bank transfers may take 2-3 business days to clear. If it is an online payment, verify the transaction ID in your payment processor.

Q: Can residents set up auto-pay? A: Yes. Residents can enroll in auto-pay from their portal. You will see a badge on their account so you know who is on autopilot.

Pro Tips

  • Run the delinquency report before every board meeting. It keeps the board informed and shows residents you are paying attention.
  • Export payment history for each unit at year-end. Residents appreciate a clean record for taxes or refinance applications.
