Vendor Management keeps all your service providers in one place. Track contracts, insurance certificates (COI), request proposals (RFPs), rate performance, and get warned before renewals expire.

Property Management Companies using LotWize to manage HOA portfolios.
How to Use It
Step 1: Add a Vendor
Click "Vendor Management" in the sidebar, then "Add Vendor." Enter the company name, contact info, services offered, and which communities they work with.
Step 2: Upload COI and Contracts
In the vendor profile, upload their Certificate of Insurance and active contracts. Set expiration dates so the system can warn you before they lapse.
Step 3: Run an RFP or Rate Performance
Need bids for a new landscaping contract? Click "New RFP" and send it to multiple vendors. After a job is done, rate the vendor on quality, timeliness, and price. Ratings help you pick better vendors over time.
Common Issues
Q: I got a renewal warning but the vendor already renewed. A: Update the expiration date in their profile. The warning goes away once the new date is saved.
Q: Can vendors see their own ratings? A: No. Ratings are private to your PMC. Only your staff can see them.
Pro Tips
- Set COI expiration alerts 30 days early so you never have a gap in coverage.
- Use vendor ratings in RFP decisions — the data makes your choices stronger.
