Welcome to LotWize! This guide will walk you through your first month as a Property Management Company using the PMC portal. Follow the steps in order, and you will be running a smooth portfolio in no time.

Day 1: Dashboard Tour and Add Your First Community

Morning: Get the Lay of the Land

  1. Log in to the PMC portal at /pmc/. The Dashboard is your home screen.
  2. Spend 10 minutes exploring the top cards: total communities, members, open violations, and pending dues.
  3. Scroll down and look at the community health scores. Even if you have no communities yet, this is where the magic will happen.

Afternoon: Add Your First Community

  1. Click "Communities" in the sidebar, then "Add Community."
  2. Fill in the basics: community name, address, and contact info.
  3. Save it. Congratulations — your portfolio now has its first property!

End of Day: Invite Yourself as Board Access

  1. Open your new community and go to the "Board Access" tab.
  2. Send an invite to your own email. This lets you see what the board portal looks like from a board member's view.

Day 2: Onboard Your Community and Import Members

Morning: Run the Onboard Wizard

  1. Click "Onboard Wizard" in the sidebar and select your community.
  2. Work through the seven steps:
    • Roster: Add members manually or skip and use Import.
    • Financials: Set dues amounts and budget categories.
    • Documents: Upload governing documents and bylaws.
    • Vendors: Add your current service providers.
    • Manifest: Review everything before go-live.
    • Go-Live: Activate the community.

Afternoon: Import Your Member List

  1. Prepare a CSV with columns: First Name, Last Name, Email, Unit Number, Phone.
  2. Go to "Import" in the sidebar, choose "Members," and upload your file.
  3. Map your columns to LotWize fields and click "Import."
  4. Check the import report for any failed rows and fix them.

Week 1: Set Up Communications, Staff, and Vendors

Day 3: Staff and Permissions

  1. Go to "Staff Management" and invite your team members.
  2. Assign roles: Admin for leadership, Manager for day-to-day, Accountant for books, Support for help desk.
  3. Assign each staff member to the communities they will handle.

Day 4: Communications Setup

  1. Go to "Communications & Broadcasts" and create your first template: a welcome message for new residents.
  2. Write a second template: a monthly newsletter.
  3. Save both for future use.

Day 5: Vendor Import and COI Tracking

  1. Add all your current vendors to "Vendor Management."
  2. Upload their Certificates of Insurance and set expiration dates.
  3. Turn on renewal alerts so you get warned 30 days before anything expires.

Day 6-7: Explore and Experiment

  • Try the "Ask" AI assistant. Ask it: "What is the average dues collection rate in my portfolio?"
  • Check "Sentiment Analysis" — it may be empty now, but watch it grow as residents start using the system.
  • Click through every menu. Familiarity now saves time later.

Month 1: Intelligence, Benchmarks, and Compliance

Week 2: Turn On Intelligence

  1. Open "Intelligence" and read your first AI-generated insights.
  2. Even with limited data, you may see trends in dues collection or maintenance requests.
  3. Flag one insight to share at your next internal meeting.

Week 3: Benchmark Your Portfolio

  1. Go to "Benchmarks" and run your first comparison against industry standards.
  2. Identify one metric where you are above average and one where you can improve.
  3. Share the report with your team and set a goal.

Week 4: Compliance and Documentation

  1. Open "Compliance" and review the checklist for each state where you operate.
  2. Mark items that are already complete and schedule time to handle any gaps.
  3. Start building your "Knowledge Base" with articles for common questions your staff gets.

Ongoing Habits

  • Daily: Check the Dashboard every morning. It takes 30 seconds.
  • Weekly: Read new Intelligence insights and Sentiment Analysis trends.
  • Monthly: Run Benchmarks, review Compliance status, and update Knowledge Base articles.
  • Quarterly: Audit staff permissions and vendor COIs.
