The Admin Dashboard is your command center for managing the entire LotWize platform. This guide covers every section, chart, and metric available.


Overview

When you log in as an admin, you land on the Dashboard — a real-time overview of platform health, user activity, and business metrics.


Platform Analytics

Total Active Users

Shows the number of users who logged in at least once in the last 30 days.

  • Green trend (↑): Growing engagement
  • Red trend (↓): Potential churn risk — check the Churn Report
  • Drill down: Click to see a daily breakdown and user list

New Signups (Last 30 Days)

Count of new accounts created, broken down by role:

  • Homeowners
  • Board members
  • PMC accounts

Why it matters: Growth velocity. Healthy platforms see steady new signups.

Communities Onboarded

Total number of HOAs and PMCs using LotWize.

  • Active: Logged in within 30 days
  • At Risk: No login in 30-60 days
  • Churned: No login in 60+ days

Revenue Overview

Monthly recurring revenue (MRR) at a glance:

  • Current MRR
  • MRR growth rate (%)
  • Revenue by plan tier
  • Failed payment count

Charts & Visualizations

User Growth Chart

A line chart showing daily active users over the last 30/60/90 days.

How to read it:

  • Smooth upward slope = healthy growth
  • Spikes = likely from a marketing campaign or feature launch
  • Plateaus = time to investigate engagement

Actions:

  • Hover over any point for exact numbers
  • Click "Export" to download as PNG or CSV
  • Toggle between 30/60/90 day views

Revenue Trend Chart

Monthly revenue plotted over time, with plan breakdowns.

Color coding:

  • Blue = Free plans
  • Green = Starter plans
  • Purple = Growth plans
  • Gold = Pro plans

Plan Distribution Pie Chart

Shows what percentage of communities are on each plan.

What to watch:

  • Heavy Free/Starter skew = potential upsell opportunity
  • Growing Pro = healthy expansion revenue

Churn Rate Chart

Tracks communities that canceled or stopped using LotWize.

Industry benchmark: SaaS HOA platforms typically see 3-5% monthly churn. Above 7% is a warning sign.

Drill-down options:

  • Churn by plan tier
  • Churn by community size
  • Churn reason (from exit survey)

Support Ticket Volume

Bar chart of tickets created per day, categorized by type:

  • Technical issues
  • Billing questions
  • Feature requests
  • Account issues

Threshold alerts:

  • More than 20 tickets/day = review staffing
  • Spike in "Technical issues" = possible bug

Custom Reports

Build your own reports in Dashboard → Custom Reports:

  1. Choose metrics (up to 5 per report)
  2. Set date range
  3. Apply filters (plan, community size, region)
  4. Choose visualization type (line, bar, pie, table)
  5. Save or schedule

Scheduled reports:

  • Daily morning summary (email at 8 AM)
  • Weekly metrics packet (Mondays)
  • Monthly board report (1st of month)

Alerts & Notifications

Set up alerts in Dashboard → Alerts:

Built-in alerts:

  • MRR drops more than 10% from last month
  • Churn rate exceeds 5%
  • Support queue more than 30 tickets
  • API error rate more than 1%
  • Any community reports a critical bug

Custom alerts:

  • Any metric threshold you define
  • Sent via email, Slack, or webhook

Exporting Data

All dashboard data can be exported:

  • PDF: Great for board presentations
  • CSV/Excel: For deeper analysis in Excel or Google Sheets
  • API: For connecting to BI tools like Tableau or Looker

How: Click the Export button on any chart or table.
