Clearwater Heights' management company contract was expiring and the board voted 4-1 to self-manage. They had a 60-day transition window to assume control of $892,000 in annual budget management, 23 vendor contracts, and 3 years of financial and operational records. The previous management company was cooperative but slow — records arrived in multiple formats: PDFs, spreadsheets, paper documents, and a proprietary system export.

The Solution

LotWize's onboarding specialist worked directly with the board and the departing management company to organize the records import. Vendor contracts were digitized and tracked in LotWize with expiration alerts. Homeowner data was migrated in one session. Financial accounts were transferred using a documented chain-of-custody process to maintain audit continuity.
